EXECUTIVE DIRECTOR MANITOWOC SYMPHONY ORCHESTRA
The Executive Director of the Manitowoc Symphony Orchestra is responsible for all aspects of operation including fundraising, marketing, administration, and communications, with a specific weight on fundraising and marketing. The Executive Director has the leadership and vision to work closely with the Board of Directors and the Musical Director to fulfill the orchestra’s mission and to ensure that it achieves its goals for community engagement and artistic excellence.
SPECIFIC DUTIES AND RESPONSIBILITIES
Fund Raising and Development/External Relations
- Lead and assist Board of Directors in and be a resource for fund-raising activities, including annual fund drive, corporate sponsorships, special events, endowment campaigns, planned giving program, and identification and cultivation of donors.
- Maintain mailing list for solicitation letter; maintain donor list.
- Prepare and submit grant applications for corporations, foundations, and government agencies that provide arts funding; research grant possibilities and write reports and back-up materials to support each application; follow up on each proposal.
- Collaborate with other arts, cultural, and educational organizations; strive to establish an ongoing cooperative, working relationship with other community groups.
- Serve as the spokesperson for the Manitowoc Symphony Orchestra.
Marketing and Promotion
- Chair the Marketing Committee and work with the Board of Directors and the Marketing Committee to develop strategies and define how key messages will be delivered to various individuals and institutions in order to maximize visibility, brand and revenues of the Manitowoc Symphony Orchestra.
- Work with the Board of Directors and the Marketing Committee, using appropriate advertising and publicity to achieve maximum season and single ticket sales.
- Maintain relationships with media contacts; write press releases; generate feature stories in print and broadcast media about the orchestra and upcoming events.
- Work with printer(s) to make sure that items are printed and ready for distribution.
- Oversee the MSO website.
- Develop constant contact email for concerts and other general information releases.
- Optimize the poster route.
Administrative
- Develop a volunteer organization and coordinate volunteers.
- Prepare mailings
- Make sure all musicians and other paid persons have filled out necessary paperwork (general contact information and W9 form.)
- Contract for auditorium, rehearsal hall and box office; set rehearsal dates at school and follow up each month to verify arrangements; assist with arrangements that need to be made for any additional performances outside the regular concert series; report all arrangements to the music director.
- Arrange guest artists’ lodging, transportation, and hospitality at concert time.
- Communicate with venue box office on ticket sales issues.
- Prepare and present an accurate box office report of the number of tickets redeemed and the number of ticket sales at the door to the Board of Directors at the meeting immediately following a concert.
- Submit bills to accountants; make all deposits.
- Keep an accurate record of all orchestra instruments and property.
- Comply with the regulations of ASCAP.
- Do general office duties, including mail pickup and delivery, correspondence as needed, maintain files, etc.
Board of Directors
- Serve as ex-officio member of the Board and committees; attend monthly board meetings; prepare reports for the Board as appropriate.
- Assist with committees.
